This notice explains what information we collect when you use the Invoice Studio website, request a demo, or use the Invoice Studio software, and how we use it. If you have any questions, email us at admin@invoicestudio.co.uk.
Who we are
Invoice Studio provides point-of-sale and invoicing software. We are the "data controller" for the personal information described here. You can contact us any time at admin@invoicestudio.co.uk.
What we collect and why
1. When you request the demo
To give you access to the live demo, we ask for your name, email address, phone number and address, and we email you a one-time code. We store these details so we can give you access and contact you about Invoice Studio. We ask for your consent before you submit the form.
2. When you buy or activate a licence
When you purchase and activate the software, we record a Machine ID (a code that identifies your computer) and your licence key. We use these to issue your licence, tie it to your computer, and check that it is valid.
2a. When you place an order
When you order through our Buy page, we collect your name, email address, phone number (if given), and Machine ID so we can process your order and send you the download and licence key. Payments are made through third‑party providers (such as PayPal, Stripe, or your bank); we do not see or store your full card details — those are handled by the payment provider under their own privacy terms.
3. Software licence checks ("check-ins")
To keep licences valid and prevent misuse, the installed software may connect to our servers from time to time. When it does, we may record your Machine ID, licence key, the app version, the date/time, and your approximate location and internet (IP) address. We use this to validate licences, understand how many devices are using a licence, provide support, and protect against unauthorised copying. The software still runs offline; these checks happen when an internet connection is available.
4. When you contact us
If you email us, we keep your message and contact details so we can reply and provide support.
Your business data stays on your device
The information you enter into the software — your invoices, customers, products and sales — is stored locally on your own computer (or shared across your own PCs on your network if you use multiple tills). We do not collect, upload or have access to that business data.
Why we're allowed to use your information
We rely on: your consent (for the demo sign-up), performing our contract with you (to provide and licence the software), and our legitimate interests (to run the business, provide support, and protect our software from misuse).
Who we share it with
We do not sell your personal information. We may use trusted service providers to run our business — for example, email delivery and website/server hosting — who process data on our behalf. We may disclose information if required by law.
How long we keep it
We keep your information for as long as it is needed for the purposes above — for example, for the life of your licence, or while we are in contact with you about the product — and then delete it.
Your rights
You can ask us to see, correct, or delete the personal information we hold about you, or to stop contacting you. Just email admin@invoicestudio.co.uk and we'll help. You can also unsubscribe from any marketing email.
Cookies
Our website uses only the cookies needed to make it work (for example, to remember your demo sign-up step). We don't use advertising cookies.
Changes to this notice
We may update this notice from time to time. The date at the top shows when it last changed, and the history below lists what changed and when.
